Frequency reports allow you to view information about how frequently questionnaires are answered using various criteria such as profile items and questions. There are three types of Frequency report “Profile”, “Question” and “Formatted”. 

 

Section 1 – Frequency Profile Report

 

 

1. Open the “Frequency (Profile)” Report Screen

 

Before you can create Frequency (Profile) Report you must log into Viewpoint Online as a manager (see the “Manager Login” user guide).

 

Click on the “Analyse Results” option in the “Navigation” section of the menu at the left hand side of the screen (circled in red on Fig 1). This will take you into the analysis menu.

 

Click on the “Frequency (Profile)” option in the “Reports” section of the menu at the left hand side of the screen (circled in red on Fig 2). The “Frequency (Profile) Report” screen will be displayed.

 

Note: If you cannot see the “Frequency (Profile)” option then you do not have the correct permissions to create “Frequency (Profile)” reports.

2. Select the “Frequency (Profile)” Report Options

 

Select the profile items you wish to use to create a “Frequency (Profile)” report, from the list of profile items by clicking on the checkbox to the left of each profile item (circled in red on Fig 3).

3. Select the “Frequency (Profile)” Report Settings

 

You can change the settings of the report by clicking on the “Report Settings” button (see Fig 4).

 

You can choose to show the percentage by clicking on the checkbox to the left of “Show Percentage”.

 

You will need to choose the “Include User Profiles” options by clicking on the checkbox to the left of the option.

 

Note: By default some of the options are already selected, to deselect them click on the checkbox.

4. Create the “Frequency (Profile)” Report

 

Once you have changed the settings you require and selected the profile items to include in the report, click on the “Create Report” button. A report will be created in a separate window. Fig 5 is an example of a “Frequency (Profile)” report.

 

You can also drill down some of the information by clicking on text that is displayed in blue (circled in red on Fig 5). This will open a new window with the relevant information for that profile item.

 

Note: You can print the report by clicking on the “File” menu and selecting the “Print” option. Also if you close the report you will not be logged out of Viewpoint online.

Section 2 – Frequency Profile Report

 

 

1. Open the “Frequency (Question)” Report Screen

 

Before you can create a Frequency (Question) Report you must log into Viewpoint Online as a manager (see the “Manager Login” user guide).

 

Click on the “Analyse Results” option in the “Navigation” section of the menu at the left hand side of the screen (circled in red on Fig 1). This will take you into the analysis menu.

 

Click on the “Frequency (Question)” option in the “Reports” section of the menu at the left hand side of the screen (circled in red on Fig 2). The “Frequency (Question) Report” screen will be displayed.

 

Note: If you cannot see the “Frequency (Question)” option then you do not have the correct permissions to create “Frequency (Question)” reports.

2. Select the “Frequency (Question)” Report Options

 

Click on the drop down list next to “Questionnaire” and below the buttons and Date boxes, then select the questionnaire you wish to create the “Frequency (Question)” report for (circled in red on Fig 3).

 

You can select a date range for the “Frequency (Question)” report by entering a start date and end date in the “Start Date” and “End Date” boxes.

 

Select the questions you wish to create a “Frequency (Question)” report for from the list of questions by clicking on the checkbox to the left of each question.

4. Create the “Frequency (Question)” Report

You can also select the profile items to display in the report, to do this click on the “Profile Items” button and select the profile items by clicking on the checkbox next to the profile items you wish to display (see Fig 5).

5. Create the “Frequency (Formatted)” Report
